Facility Support Specialist

Job Summary:

The incumbent will be responsible for providing a high standard of facility support across all areas of the site, ensuring safe and healthy working conditions for everyone in the building at all times.

Key and Critical Responsibilities:

  • Process facility work requests as assigned by your Manager.
  • Coordinate all assigned maintenance work requests, including preventive maintenance, equipment record files, and time records.
  • Assist in sourcing appropriate and comparative quotations from suitable vendors for upcoming works.
  • Act as the main liaison and monitor the performance of all vendors at your assigned location (e.g., Security, Cafeteria, Custodial services).
  • Continuously monitor and improve supplier delivery and quality performance.
  • Play an integral role in mitigating potential problems in day-to-day operations using corrective tools or additional resources as guided by the line Manager.
  • Maintain accurate records for all assigned ongoing projects, including quotations, material costs, sub-contractor labor, receipts, delivery notes, and job completion reports.
  • Collaborate with relevant Points of Contact (POCs) for all building and equipment certifications as required by local law.
  • Supervise subcontractors on site as required.
  • Perform and document all routine checks throughout the buildings to ensure a safe environment and compliance with safety rules and standards (daily, weekly, fortnightly, monthly, quarterly, yearly).
  • Perform stock checks and asset inventory checks as required and assigned.
  • Perform minor repairs as necessary (e.g., changing light bulbs, ensuring fire safety, fixing desks/chairs, basic plumbing).
  • Oversee and conduct emergency drills as required.
  • Ensure proper signage is displayed in the buildings.
  • Ensure sites are consistently equipped with adequate first aid supplies.
  • Oversee and ensure that accidents/incidents are investigated and recommend remedial actions.
  • Process requests for card access and modifications; monitor, track, and evaluate card access activity system-wide.
  • Process additions and terminations for Access Control systems.
  • Monitor cameras and serve as the point of contact for retrieving camera footage.
  • Monitor terminations and update reports at all locations, including disabling cards for 90 days or more.
  • Populate training room schedules for the assigned site.
  • Respond to assigned facility tickets on a daily basis.

Education/Experience:

  • Bachelor's Degree, First Degree, Trade/Vocational School certificate or equivalent required.
  • 4 or more years of experience in a similar position.
  • Working knowledge of MS Office Suite.
  • Basic level certification in electrical and plumbing would be an asset.
  • A vehicle would be considered an asset.

Special Requirements:

  • Ability to work a flexible shift, including nights, when required.
  • Ability to report to work at all locations, if required.
  • Frequently required to stand, reach, bend, sit, and/or walk during scheduled shifts. Occasionally exert up to 35 lbs. of force to push, pull, lift, or otherwise move objects.
  • Must have manual dexterity and visual acuity to safely use necessary tools/equipment.
  • Must have visual acuity to prepare and analyze data and/or to view a computer terminal.
