Job Description
We are hiring a Senior Administrative Assistant to provide comprehensive support to three Engineering Vice Presidents/Senior Vice Presidents and their leadership team. This role involves going beyond traditional administrative tasks to guide execution, foster understanding, and manage the daily operating rhythm, thereby enhancing the impact of senior leaders. You will work onsite in Costa Mesa, CA.
What You’ll Do
- Manage three complex calendars concurrently, assess incoming communications, and draft correspondence in each leader's distinct voice.
- Handle all aspects of travel arrangements (international and domestic), expense reporting, vendor coordination, and logistical planning.
- Build and maintain the weekly, monthly, and quarterly operating schedules, including staff meetings, skip-levels, QBRs, PI planning, town halls, workshops, and board-adjacent preparation sessions.
- Take meeting minutes and assist in tracking action items as requested.
- Organize presentation materials, manage equipment ordering, and oversee office supplies.
- Serve as a trusted communication liaison for executive leadership.
- Proactively identify needs and remove obstacles to improve leadership effectiveness.
- Leverage advanced AI fluency and tools (e.g., Claude, ChatGPT, Copilot, Gemini) to compress executive workloads and enhance efficiency.
- Coordinate and execute leadership offsite events, architectural summits, recognition programs, hackathons, new-hire onboarding rituals, team celebrations, and wellness events, including all-hands logistics.
- Maintain strict confidentiality while supporting executive-level priorities.
Qualifications
- Minimum of 5 years of administrative support experience, specifically supporting multiple senior executives simultaneously.
- Demonstrated experience coordinating corporate events or employee engagement programs across diverse regions, time zones, and cultures.
- Advanced proficiency in Microsoft Office Suite, with expertise in calendar management, meeting coordination, and email prioritization.
- Proven experience managing complex, high-volume executive calendars across multiple time zones.
- Hands-on experience coordinating complex domestic and international travel, with the ability to adapt plans in real-time.
- Experience drafting communications on behalf of executives.
- Fluency with collaboration tools such as Teams, SNOW, Jira, Confluence, and major AI platforms.
- You MUST be able to work onsite in Costa Mesa, CA.
- Bonus: Experience in engineering, financial services, or a Fortune 500 setting.
