The Role
As an Office Administrator at Zicasso, you will play a crucial role in supporting the company's administrative and financial operations. This international, fully-remote, freelance contractor position requires an exceptionally high attention to detail. You will manage daily office administration, own Accounts Payable and Accounts Receivable (AP/AR) workflows, meticulously execute data entry, manage complex invoicing, and reconcile payments. Concurrently, you will provide vital virtual office support, facilitate team logistics, and optimize internal systems for peak efficiency. We are particularly seeking candidates based in Latin America, with flexibility in work hours to generally maximize overlap with California hours (e.g., until 3 pm Pacific Time Zone). All work will be conducted in English.
Key Responsibilities
- Manage operational workflows and Accounts Payable/Receivable duties, serving as the primary contact for timely and accurate accounts receivable processing and daily administrative logistics.
- Continuously evaluate and refine internal workflows, leveraging technology to enhance operational efficiency, manage software subscriptions, and ensure administrative and financial integrity.
- Provide high-touch administrative support to executive leadership, including managing complex global scheduling, calendar alignment, and execution of critical action items.
- Utilize reporting and visualization tools (e.g., Excel, Google Spreadsheets) to track key business performance and organizational goals.
- Collaborate with the team to support the daily operational needs of the remote workforce, assisting with vendor coordination, accounting tasks, and general office administration.
Required Experience
- 6+ years of proven experience in business operations, accounting tasks, or a similar hybrid role, preferably remote.
- Strong working knowledge of QuickBooks and principles of accounts receivable & payables workflows is a significant advantage.
- High proficiency with spreadsheet software (Excel, Google Sheets) for reporting and adopting/optimizing workplace technologies.
- Associate’s or Bachelor’s degree in business administration, accounting, or a related field is preferred.
- Exceptional attention to detail, strong organizational skills, and proactive problem-solving abilities.
- Ability to handle sensitive financial and corporate information with absolute discretion.
- Native or bilingual English proficiency for clear communication in a virtual, global environment.
- Comfortable working independently in a remote, full-time capacity (40 hours/week).
