We are looking for a motivated and detail-oriented Jr. Executive & Personal Assistant to join our team. This is an excellent opportunity for someone early in their career eager to grow within a fast-paced, dynamic environment. While prior experience is a plus, your drive, reliability, and willingness to learn are most important. You will support our CEO & Partners across both professional and personal matters, gaining hands-on exposure to executive operations from day one.

Requirements

  • Bachelor’s Degree in related fields (recent graduates welcome).
  • Experience in a professional setting is a plus—backgrounds in executive/personal assistance, administration, program coordination, event planning, or communications are welcomed. Internships, part-time roles, volunteer coordination, or relevant academic projects also count.
  • Proficiency in Microsoft Word, Excel, Outlook.
  • Native/Bilingual in Turkish, excellent verbal and written communication skills in business English. All interviews will be conducted in English!
  • Positive and team player personality.
  • This is a full-time Remote Position.
  • A dedicated office room/space is required.
  • Given the nature of executive support, work outside of regular business hours may be required. The ideal candidate must be flexible.
  • Work hours will be based on US TIME ZONES (EST).

Responsibilities

  • Provide core support functions for our CEO & Partners on both personal and business levels.
  • Manage daily and weekly activities with a high degree of discretion and autonomy.
  • Personal and Business Calendar & Meeting Management: Schedule, change, and confirm appointments; register for/RSVP to events; manage personal appointments and lifestyle commitments; proactively monitor and balance external commitments.
  • Travel and Logistics Coordination: Book travel and lodging; provide directions, traffic estimates, and parking details; tabulate and reconcile mileage for reporting.
  • Appointment Readiness: Prepare materials for meetings; ensure readiness for business and personal appointments; provide post-meeting support for action items.
  • Provide reminders and prioritization of tasks across professional and personal commitments.
  • Manage email inboxes and CEO’s/Partners’ LinkedIn accounts; update contact lists; write, proofread, and send emails.
  • Screen, answer, and return phone calls/WhatsApp/text messages professionally for business and personal matters.
  • Maintain client information on the CRM system.
  • Perform administrative functions such as ordering supplies, arranging equipment repairs, and servicing equipment, including seeking proper authorization for items requiring prior approval for both office and personal needs.
  • Assist with food orders, luncheon planning, and other business-related meetings or personal/ad-hoc executive demands.
  • Perform other clerical duties such as filing, photocopying, scanning, faxing, tracking, and archiving, maintaining a meticulous online filing system.
  • Prepare documents, letters, presentations, and other communication materials; create graphs and displays.
  • Contribute to team effort by accomplishing related results as needed.
  • Prepare, check, and process expense reports/client documents, including personal expense reporting when required.
  • Assist with data entry during slower periods.
  • Assist other departments as needed.
