The Role

We are looking for Lab and Referral Operations Coordinators to join our Care Delivery Operations team. This is a fully administrative role where precision, reliability, and follow-through are crucial for supporting clinicians, patients, and partners. You will own the day-to-day administrative workflows that ensure lab and referral processes run smoothly, processing and routing documentation while adhering to privacy and quality standards.

Key to success are technical confidence, sharp organizational instincts, strong problem-solving skills, and the ability to manage multiple priorities independently and collaboratively in a fast-paced environment.

Note: Medical or clinical experience is not required, though prior admin work in a healthcare setting is an asset. This is not a lab-based position; Maple is a virtual platform.

Your Responsibilities

  • Take ownership of high-volume incoming lab and referral documentation (faxes, voicemails, digital records), processing and managing each according to Maple’s privacy and security standards.
  • Upload, route, and track lab results and referral information for clinician review and follow-up.
  • Respond to urgent lab communications and escalate critical results quickly.
  • Investigate missing, incomplete, or unclear documentation and coordinate with labs, clinics, and internal teams for resolution.
  • Maintain accurate patient records, ensuring alignment between patient information and lab or referral data.
  • Support public health reporting and compliance-related documentation as required.
  • Work closely with Customer Support and Care Delivery teams to address lab- and referral-related questions from patients and providers.
  • Consistently meet accuracy, quality, and turnaround expectations.

What Success Looks Like

  • First 90 Days: Gain a strong understanding of Maple’s workflows, tools, and privacy requirements. Independently manage administrative tasks, hit productivity benchmarks, and build working relationships.
  • 6-12 Months: Become a trusted, go-to contributor known for accuracy, clear communication, and consistent follow-through. Consistently meet or exceed quality and productivity expectations, and take ownership of more complex issues.

What You Bring

  • Two or more years of experience in an administrative or operations role. Experience as a Medical Office Assistant or Medical Receptionist, or in a healthcare/clinic environment, is an asset.
  • A detail-oriented mindset with a commitment to accuracy, quality, and process adherence.
  • Confidence in managing multiple tasks and deadlines independently in a fast-paced, high-volume environment.
  • Strong written and verbal communication skills, with an ability to collaborate across teams.
  • Sharp problem-solving and critical thinking skills.
  • Comfort learning and navigating multiple systems and tools; experience with Google Workspace, PDF management tools, and Slack is an asset.
