Bilingual Lab and Referral Operations Coordinator
Maple is seeking detail-oriented and reliable Bilingual Lab and Referral Operations Coordinators to join our Care Delivery Operations team. This is a critical administrative role where your precision and follow-through directly support clinicians, patients, and partners.
As a Coordinator, you will own the day-to-day administrative workflows that ensure our lab and referral processes run smoothly. You will review, process, and route documentation, ensuring accuracy, compliance with privacy standards, and timely follow-up. Success in this role requires technical confidence, sharp organizational skills, strong problem-solving abilities, and the capacity to manage multiple priorities in a fast-paced environment while maintaining accuracy.
Please note: This is a fully administrative role. Medical or clinical experience is not required, though prior healthcare administration experience is an asset. This is not a lab-based position.
Your Responsibilities:
- Process a high volume of incoming lab and referral documentation (faxes, voicemails, digital records) in line with Maple’s privacy and security standards.
- Upload, route, and track lab results and referral information for clinician review and timely follow-up.
- Respond to urgent lab communications and escalate critical results promptly.
- Investigate and resolve missing, incomplete, or unclear documentation by coordinating with labs, clinics, and internal teams.
- Maintain accurate patient records and ensure consistency between patient information and lab/referral data.
- Support public health reporting and compliance-related documentation.
- Collaborate with Customer Support and Care Delivery teams to address lab- and referral-related inquiries.
- Consistently meet accuracy, quality, and turnaround time expectations.

- First 90 Days: Gain a strong understanding of Maple’s lab and referral workflows, tools, and privacy requirements. Begin managing administrative tasks independently, meeting productivity benchmarks, and building cross-functional relationships.
- 6-12 Months: Become a trusted, go-to contributor known for accuracy, clear communication, and consistent follow-through. Consistently meet or exceed quality and productivity expectations, handle more complex issues, and contribute significantly to the smooth operation of Care Delivery Operations.
What You Bring:
- Two or more years of experience in an administrative or operations role. Experience as a Medical Office Assistant or Medical Receptionist, or in a healthcare/clinic setting, is an asset.
- Fluency in both French and English (written and verbal) is required to support patients and partners across Canada.
- A detail-oriented mindset with a strong commitment to accuracy, quality, and process adherence.
- Confidence in managing multiple tasks and deadlines independently in a fast-paced, high-volume environment.
- Strong written and verbal communication skills, with the ability to collaborate effectively across teams.
- Sharp problem-solving and critical thinking skills.
- Comfort learning and navigating multiple systems and tools; experience with Google Workspace, PDF management tools, and Slack is an asset.

- Pay Range: $21.30 to $23.15 hourly (commensurate with skills, experience, and readiness).
