The Role

We are seeking a Global Project Administrator (Finance) to be central to the financial management of our clinical trial projects. This precision-focused role involves owning the setup, tracking, and billing of projects within SAP from initiation to completion, ensuring accuracy, compliance, and timeliness. You will collaborate closely with Business Project Managers, Contracts & Proposals, and the wider Finance team to maintain the financial operations supporting each study. How You’ll Add Value:

  • Set up and maintain accurate project structures in SAP PS, including WBS elements, milestones, billing plans, and change orders.
  • Ensure timely and accurate client billing by tracking invoicing against project milestones.
  • Act as the financial liaison between Project Management, C&P, and Finance, proactively identifying and flagging potential gaps.
  • Maintain data accuracy across SAP and integrated systems (Coupa, ActiTime, Sigma).
  • Support project reporting, budget tracking, and KPI dashboards for key stakeholders.
  • Ensure compliance with internal controls and Cerba Research quality standards.

Your Responsibilities:

  • Create, organize, and maintain project structures in SAP PS, including WBS elements, activity types, and billing plans.
  • Prepare and process project invoices; manage billing-related master data and resolve discrepancies.
  • Track deliverables, milestones, and budget expenses in SAP; assist with activity allocation.
  • Liaise with Business Project Managers, Contracts & Proposals, AR, and Billing teams to ensure seamless project execution.
  • Update integrated systems (Coupa, ActiTime, PowerApp) and control data integrity across project budgets (Sigma).
  • Generate and distribute reports on project budget progress; prepare dashboards and KPI summaries.
  • Support audit requirements and maintain compliance with internal control standards.

Requirements:

  • About You: You are precise by nature and understand the critical role of clean data in maintaining a smooth revenue cycle within project-driven businesses. Your background may be in project accounting, Order to Cash, billing operations, or accounts receivable, with a clear understanding of invoice generation and issue resolution.
  • Degree in Accounting or equivalent.
  • 3–5 years of experience in project administration, Order to Cash, billing, or finance operations, preferably in a complex, project-driven environment. Clinical research, pharma services, or similar industries are a strong plus.
  • Hands-on experience with a major financial ERP system; SAP experience is essential, particularly within project accounting or billing modules.
  • Strong understanding of billing cycles, revenue recognition, and financial data management.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple projects and stakeholders simultaneously.
  • Strong communicator (written and verbal) with a proactive approach to stakeholder management.
