Key Responsibilities
- Travel with Care Coordinators (CCs) to referral partner offices to build relationships, understand referral patterns, and identify preferred delivery methods, updating management systems as needed.
- Regularly travel to referral partner offices in the field to obtain signatures for current or outstanding orders.
- Collaborate with referral partners to secure outstanding paperwork when a CC is no longer with the agency or branch.
- Monitor physician information in profiles for accuracy, researching and correcting any errors.
- Submit Smartsheet requests for changes to CC-assigned referral sources or other necessary updates.
- Document daily work performed to obtain current or outstanding orders, including actions taken and follow-up dates, and follow up on previous week's activities.
- Assist with order escalations by liaising with the home office, referral partner, and CC.
- Participate in meetings to discuss and provide updates on outstanding orders, escalations, and communicate plans for document retrieval.
- Print and prepare orders for each CC, discussing a plan for obtaining signatures weekly. Be available to send outstanding orders to CCs in referral source offices for immediate signature.
- Run F2F and orders reports weekly, working with CCs to ensure orders are completed within 14 days or as per patient case requirements.
- Review potential write-off accounts with Regional Directors of Sales (RDS) to determine resolution plans or submission for write-off.
- Communicate professionally with all departments to resolve outstanding orders.
- Respond promptly to all inquiries, providing timely resolutions to concerns and discrepancies.
- Comply with HIPAA regulations on all accounts.
Qualifications
- High school diploma or equivalent required.
- Previous experience working with an Electronic Medical Record (EMR) system.
- Excellent communication, organizational, and time management skills.
- Advanced typing and computer skills (MS Office proficiency).
- Ability to multitask across multiple software systems while maintaining data integrity.
- Excels in a deadline-driven environment.
- Ability to remain productive when faced with high workloads and deadlines.
