About the Role
We are seeking a brilliant Event Production Manager to join our Planning team. You will serve as the ultimate bridge between our clients and our incredible on-site teams, bringing physical, hybrid, and virtual meetings to life. If you thrive under pressure, love premium hospitality, and want to help shape unforgettable experiences, this role is for you. What You'll Do:
Our Event Production Managers are the primary client contact during planning, liaising with on-site event, technology, and control room teams to ensure a seamless meeting experience. You will ensure the client's vision is executed, providing full support from kick-off to post-event. You will act as a project manager, overseeing on-site responsibilities handled by the Event Operations Team, and supporting our hybrid, virtual, and physical meeting products. You will embody Convene’s values and hospitality standards.
- Plan and oversee meeting programs across physical, hybrid, and virtual platforms.
- Communicate effectively verbally and in writing with associates, clients, and internal departments in an attentive, friendly, and service-oriented manner.
- Listen to, understand, and clarify client and associate concerns.
- Provide pre-sales support to the Sales team, advising on deadlines and requirements, and assisting with room diagrams, facility insights, and contract progression.
- Develop event timelines and communicate pre-production deadlines.
- Schedule and host client kick-off calls.
- Serve as the primary client contact leading up to the event day.
- Prepare and distribute all room diagrams.
- Collaborate with culinary and service teams to finalize menus and timing.
- Partner with AV Production to plan the client's run of show and vision for physical and hybrid Studio Events.
- Host client Run of Show Reviews with the AV Production team and Event Operations Manager.
- Partner closely with and oversee the execution of tasks by the Event Operations Team.
- Assign and manage event tasks in project management tools, ensuring timely and standard-compliant completion.
- Create and maintain detailed event documentation for each booking.
- Responsible for the creation of PEOs (Program Execution Orders), program diagrams, and invoices.
- Support the Event Site Production team with livestream event platform details (agenda, speaker, sponsor information, collateral).
- Manage client expectations regarding available features and provide feedback to Product and Design teams for platform enhancements.
- Conduct pre-event and post-event debriefs with internal stakeholders.
- Follow up with clients on post-event deliverables.
- Conduct weekly event meetings and regular PEO meetings.
- Provide status updates to internal and external stakeholders on pre-production milestones.
- Supervise the proper calculation of program checks and ensure client approval and signatures.
- Ensure the collection of all program balances.
What We Look For:
- 3+ years in a customer-facing role.
- Prior experience in event planning and project management.
- Comfort using web-based collaboration tools (Slack, Salesforce, SmartSheets, Google Suite, etc.).
- Familiarity with SaaS, event platforms, video/web conferencing is a plus.
- Strong business acumen and the ability to remain calm under pressure.
- A natural problem-solver focused on meeting customer needs.
- Ability to multitask and a dedication to customer satisfaction.
