We are seeking an ambitious individual to join us as an Executive Assistant & Senior Project Manager (m/f/d). You will work closely with our Business Director, support strategic client projects, and gradually take on increasing responsibility in managing our Healthcare clients. Your Responsibilities
- Interface between Business Director and Team: Maintain oversight of projects, deadlines, and outstanding tasks, ensuring critical items are consistently advanced and followed up on.
- Support Strategic Client Projects: Contribute to our major client projects, attend all meetings with our Business Director, and assist in preparing, following up, and implementing key client initiatives.
- Project and Task Management: Set deadlines, prepare reports, coordinate internal teams, and ensure projects are executed in a structured and efficient manner.
- Accompany Marketing & Sales Materials: Oversee the entire process from concept to final delivery, ensuring all materials align with strategic directives and quality standards.
- Conduct Quality Control: Review communications, presentations, advertisements, and campaigns for quality, consistency, and strategic alignment.
- Coordinate Internal Teams: Collaborate closely with Creation, Consulting, and Project teams, coordinating timelines and ensuring seamless teamwork.
- Successfully Implement Projects: Manage projects from proposals and project plans to final execution, maintaining a clear overview and ensuring nothing falls through the cracks.
- Manage the Day Before It Begins: Handle all communication and travel planning for our Business Director, including curated morning briefings, concise summaries, and well-thought-out travel itineraries, ensuring she is always well-prepared because you are one step ahead.
Your Qualifications
- Minimum 5 Years Agency Experience: Preferably with a background in Healthcare (a significant plus!).
- Client Consultation & Account Management: Proven ability to build, nurture, and strategically develop client relationships.
- Project Management Proficiency: Capable of managing projects from proposal creation through budget planning to final delivery.
- Design Evaluation Skills: Ability to professionally analyze client materials and assess their fit with the communication strategy.
- Organizational Talent & Priority Management: Work in a structured manner, maintain oversight of multiple parallel tasks, and set appropriate priorities.
- Clear Communication & High Reliability: Communicate transparently, consistently follow up on tasks, and serve as a dependable point of contact for clients, the team, and the Business Director.

Your Daily Life With Us
You will work closely with our Business Director daily, supporting her in managing our most important client projects. You'll prepare client meetings, presentations, proposals, and strategic documents, oversee emails, outstanding tasks, and priorities, and ensure critical topics are consistently driven forward. As the central interface between the Business Director, clients, and the team, you'll ensure transparent information flow, adherence to deadlines, and successful project implementation. Simultaneously, you'll participate in strategic discussions, gaining direct insights into client management, project steering, and the operational day-to-day business of our largest accounts.
No two days are the same. One day you might prepare for a client meeting, the next you coordinate the execution of a campaign, and the day after you ensure a crucial project is completed on time.
