About the Role

ISTA Personnel Solutions seeks a highly organized and detail-oriented Administrative & Billing Coordinator to support one of our US-based clients. This role is perfect for someone who thrives in an administrative environment, enjoys customer interaction, and takes pride in producing accurate work. You will play a key role in supporting daily office operations, managing incoming calls, processing information from field technicians, and handling billing and invoicing. Key Details

  • Working Hours: Monday – Friday | 9:00 AM – 6:00 PM EST (3:00 PM – 00:00 AM South African time - subject to daylight savings).
  • Public Holidays: Requires working on both South African and US public holidays (compensation for SA public holidays in accordance with the BCEA).
  • Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory.
  • Power Backup: Reliable backup is required to manage load shedding or outages.
  • Work Environment: Fully remote.

Responsibilities

  • Answer incoming customer and client phone calls professionally and efficiently.
  • Create, process, and send invoices accurately and timeously.
  • Perform general administrative and secretarial duties.
  • Manage billing and invoicing functions with a high degree of accuracy.
  • Process information received from field technicians.
  • Capture job details accurately within the company system.
  • Issue invoices and maintain accurate records.
  • Support day-to-day office operations and administrative processes.
  • Communicate effectively with customers, clients, and internal stakeholders.
  • Proactively identify and address discrepancies or errors.
  • Maintain confidentiality and professionalism in all interactions.

Requirements

  • Previous experience in an administrative, secretarial, office support, or customer service role.
  • Excellent verbal and written English communication skills with a clear and professional accent.
  • Strong attention to detail and commitment to accuracy.
  • Experience with billing, invoicing, or administrative financial tasks.
  • Strong organizational and multitasking abilities.
