Purpose

The Human Resources (HR) Administrative Assistant will provide comprehensive administrative and coordination support to the HR Department, encompassing Recruitment, Learning & Development, Benefits, Employee Support, and other administrative functions. This position is responsible for overseeing daily administrative duties within the scope of the role and collaborating to ensure continuous support from the HR Department throughout the Tribe.

Essential Functions

  • Maintain and update the designated HRIS platform, ensuring consistent and timely communication of updates. Collaborate with relevant stakeholders to address support needs.
  • Ensure all employee-related documentation is accurately filed in personnel files, maintaining the integrity and confidentiality of information.
  • Provide real-time support for Learning & Development activities, including live trainings conducted periodically.
  • Update HR systems related to programs, learning & development, benefits, or other designated departmental resources as required.
  • Partner with key stakeholders to develop relevant and efficient documentation for HR processes and employee-related situations.
  • Assist in the development, updating, and implementation of user guides and manuals, distributing them to appropriate parties within the Tribe.
  • Serve as the primary travel coordinator for all Human Resources employees, utilizing Easy Biz and other relevant Tribal programs.
  • Oversee supply ordering, ensuring adherence to all applicable procurement procedures.
  • Reconcile Divvy cards for assigned employees.
  • Accurately code and process invoices through Stampli in a timely manner, ensuring correct assignment of fund codes to expenses.
  • Provide support to other HR positions as requested and designated.
  • Respond to employee inquiries promptly, providing primary support by routing communications received in the centralized Human Resources Inbox.
  • Occasional travel will be required for this role.
