Sales Assistant (CRM, Scheduling, Sales Support)

About the Role

We are hiring a Sales Assistant to provide comprehensive support for sales operations, CRM management, scheduling, and proposal coordination. This role is crucial for maintaining sales team organization and efficiency, enabling Account Executives to focus on closing deals by managing data, meetings, documents, and communication effectively. If you are detail-oriented, highly organized, and experienced with CRM systems and sales support workflows, this role is an excellent fit.

Responsibilities

CRM Management:

  • Maintain accurate and up-to-date records in CRM systems (Salesforce, HubSpot, Zoho, Pipedrive).
  • Update leads, contacts, and opportunities with complete and current information.
  • Monitor and perform data hygiene tasks, including identifying and resolving duplicates, missing fields, and outdated records.

Scheduling & Coordination:

  • Schedule calls, demos, and follow-up meetings across various time zones.
  • Utilize scheduling tools such as Google Calendar, Outlook, and Calendly.
  • Coordinate internal preparation meetings and ensure sales representatives are equipped with necessary materials.

Proposal & Document Support:

  • Draft, format, and proofread sales proposals, quotes, and presentations.
  • Assist with RFP/RFI responses using established templates.
  • Create and edit sales collateral using tools like Google Slides, PowerPoint, and Canva.

Reporting & Metrics:

  • Generate weekly and monthly sales reports using CRM data.
  • Track pipeline activity, conversion rates, and key performance indicators (KPIs).
  • Maintain sales dashboards for clear visibility into sales performance.

Communication & Follow-Up:

  • Draft and send follow-up emails, reminders, and thank-you notes.
  • Support inbound lead responses and effectively route qualified prospects.
  • Ensure timely and professional communication with prospects throughout the sales cycle.

Cross-Team Collaboration:

  • Coordinate effectively with marketing, finance, and operations teams.
  • Track deliverables to ensure a smooth customer journey.
  • Support lead routing, contract approvals, and order processing workflows.

Requirements

  • 1–2 years of experience in administration, sales support, or operations.
  • Familiarity with CRM tools (Salesforce, HubSpot, Zoho, or Pipedrive).
  • Proficiency in Microsoft Office Suite or Google Workspace.
  • Strong written communication and organizational skills.
  • Ability to manage multiple tasks and priorities effectively.
  • Comfortable working remotely during U.S. business hours.

Nice to Have

  • Experience creating proposals, presentations, or sales collateral.
  • Familiarity with lead generation workflows or supporting Sales Development/Business Development Representatives (SDR/BDR).
  • Experience in B2B SaaS, professional services, or marketing agencies.
  • Basic data analysis skills (e.g., Excel pivot tables, Google Data Studio).
