The Role
LLNL has an opening for a Service Operations Specialist to provide essential operational and administrative support for maintenance program activities. This position is key to coordinating, tracking, and reporting necessary for maintenance work execution and assessment readiness within the Strategic Deterrence (SD) Directorate. The role offers potential for a hybrid work schedule after a probationary period, providing flexibility.
Responsibilities
- Collect, track, validate, and maintain facility and maintenance data from EAM systems and databases.
- Monitor work order activity and prepare standard reports, metrics, and summaries.
- Coordinate with deployed teams, internal stakeholders, and vendors to support maintenance execution.
- Track procurement status for materials, parts, and services.
- Coordinate logistics, schedules, and documentation for maintenance assessments and audits.
- Maintain service area records, databases, forms, and supporting documentation.
- Respond to routine operational questions and resolve day-to-day issues.
- Assist with scheduling and general coordination activities supporting maintenance readiness.
- Perform other duties as assigned.
Additional Duties at the A07.2 level:
- Analyze facility and maintenance data to support operational planning and decision-making.
- Prepare recurring, custom, and ad hoc reports, identifying trends and opportunities for process improvement.
- Coordinate multifaceted work activities and resolve operational constraints.
- Monitor procurement actions and communicate risks or delays.
- Coordinate and track audit and assessment logistics across multiple stakeholders.
- Collect, organize, and track required records and documentation for assessments.
- Research, compile, and reconcile information from multiple sources.
- Apply established service operations processes independently and provide informed support.
Qualifications
Required:
- An active Department of Energy (DOE) Q-level or Top Secret clearance.
- Experience coordinating workflow, work activities, or processes in a service operations, maintenance, facilities, logistics, or customer support environment.
- Experience collecting, tracking, and reporting operational or performance data.
- Knowledge of standard office systems, databases, spreadsheets, and reporting tools.
- Ability to interpret established procedures and apply them to daily work.
- Strong organizational, administrative, and communication skills.
- Ability to coordinate with multiple stakeholders and manage multiple tasks.
- Demonstrated attention to detail and follow-through.
Additional Qualifications at the A07.2 level:
- Experience coordinating multiple work activities and multifaceted processes in a service operations or maintenance support environment.
- Experience working with Enterprise Asset Management (EAM) systems or similar.
- Experience analyzing data and preparing summaries or reports for management.
- Experience assessing customer needs and identifying solutions.
- Experience tracking procurement actions, materials, or services.
- Experience supporting audits, assessments, or compliance logistics.
- Ability to work independently and use sound judgment.
Qualifications We Desire:
- Experience supporting facilities, maintenance, operations, or nuclear program environments.
- Familiarity with document control processes.
- Experience working with vendors and internal support organizations.
- Experience preparing custom or ad hoc reports.
- Knowledge of business planning and tracking tools.
