To support our growth, we are looking for an Executive and Operations Assistant to support internal coordination, schedule management, and the logistics of meetings and events, ensuring order, efficiency, and fluidity in the team's daily work.

Responsibilities

Executive Support and Internal Coordination

  • Organize the team's schedules, meetings, and travel.
  • Take notes and prepare minutes for internal and external meetings.
  • Follow up on agreements and tasks arising from meetings.
  • Maintain institutional calendars and planning documents up-to-date.
  • Support the preparation of presentations, reports, and materials for management and partner meetings.

Document and Administrative Management

  • Organize and maintain updated physical and digital archives of the organization.
  • Support the management of contracts, agreements, and institutional documentation.
  • Coordinate the collection of information for audits, reports, and internal processes.
  • Ensure the correct application of administrative and archiving procedures.

Logistics and Event Organization

  • Support the organization of internal and external meetings, training sessions, and events.
  • Manage reservations, suppliers, and logistical materials.
  • Coordinate communication with participants and partners before and after events.
  • Ensure each activity runs with order, punctuality, and attention to detail.

Cross-functional Team Support

  • Collaborate with the Programs, Finance, and Communication areas on operational tasks.
  • Implement improvements in internal management processes and tools.
  • Contribute to maintaining a collaborative, efficient, and positive work environment.

Requirements

We are looking for someone organized, proactive, and with a service orientation. The ideal profile includes:

  • At least 2-4 years of experience in administrative, executive support, or operations coordination roles.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and priorities with autonomy and judgment.
  • Proficiency in office tools (Google Workspace, Excel, Docs, Calendar, Drive).
  • Ability to draft minutes, reports, and internal communications with clarity and precision.
  • Native Spanish speaker and advanced English level.
  • Collaborative approach, discretion, and ability to work with diverse teams.
  • Previous experience in NGOs, foundations, or social and environmental projects will be valued.
  • Residency in mainland Spain.
