About the Role

Reporting to the Editorial Director, the Medical Editor is pivotal in ensuring the overall editorial quality of medical communications content. This role demands meticulous attention to detail in providing medical editing for accuracy, clarity, consistency, grammar, and style. You will independently fact-check content, proofread and edit copy, and ensure strict adherence to client and project requirements, the American Medical Association (AMA) Manual of Style, client corporate and brand style guides, and agency standards. Key responsibilities also include managing Veeva Vault submissions, maintaining the reference library, and handling permissions requests. You will collaborate closely with the Editorial Services, Medical Services, and Creative Services teams to uphold the highest standards of quality and accuracy in all deliverables.

Job Duties

  • Fact-check, substantively edit, and proofread all medical communications materials, including slide presentations, meeting materials, video scripts, flashcards, and websites.
  • Verify the completeness and accuracy of layouts and digital programming against manuscript drafts and client-approved files.
  • Confirm the accurate incorporation of changes into layout documents or programmed digital files by Creative Services at various project stages.
  • Ensure the accuracy and completeness of reference lists.
  • Identify and communicate the need for copyright permissions to reproduce figures/tables, obtain permissions from publishers, and communicate associated costs to Account Services for client notification.
  • Prepare and submit documents through the Veeva Vault system.
  • Serve as a subject-matter expert on client and AMA style, grammar, usage, and agency standards.
  • Create, maintain, and adhere to project-, product-, and client-specific style guides to ensure consistency across all materials.
  • Collaborate with Medical Services and Creative Services personnel to ensure content accuracy and convey editorial comments effectively.
  • Assist colleagues with editorial problem-solving, troubleshooting, and brainstorming.
  • Attend product status meetings to stay informed about upcoming and in-progress editorial projects.

Key Competencies

  • Ability to coordinate and execute multiple tasks efficiently in a fast-paced environment, supporting various therapeutic teams and meeting project goals.
  • Exceptional attention to detail and the ability to perform under tight deadlines.
  • Familiarity with general scientific concepts and the capacity to understand more complex scientific applications.
  • Excellent command of grammar and usage, medical writing style guidelines (e.g., AMA Manual of Style), and promotional activity regulations.
  • Expert proficiency in Microsoft (MS) Word and PowerPoint.
  • Proficiency in MS Excel and Adobe® Acrobat.
  • Working knowledge of Veeva Vault is preferred (training will be provided).
  • Working knowledge of the permissions process is preferred (training will be provided).
  • High degree of integrity, confidentiality, and accountability.
  • Well-developed professional communication skills, both written and interpersonal.
  • Ability to work effectively both independently and as part of a collaborative team.
  • Capacity to master various content management systems.
  • A strong desire to meet professional goals and continuously acquire new skills.

Qualifications

Requirements

  • Bachelor's degree (preferably in Science or English).
  • 3-5 years of pharmaceutical/medical editing experience.

Preferred Skills/Experience

  • 2 years of experience specifically as an editor for a medical communications agency or pharmaceutical company marketing department.
  • Familiarity with agency workflow processes.
  • Familiarity with electronic document review systems.

Working Conditions

  • Willingness to commit to extra hours and/or non-traditional hours as client needs dictate.
