Procurement Operations Coordinator
Overview
We are seeking a detail-oriented and proactive Procurement Operations Coordinator to support the accurate processing, tracking, and reporting of purchase orders across multiple customer projects. This role is a critical link between Project Management, Finance, and external clients, ensuring smooth procurement workflows, data integrity, and client satisfaction. While initially focused on the New York City Department of Education portfolio, this role is designed for scalability across Gordian’s expanding customer base.
Key Responsibilities
- Process, track, and reconcile purchase orders across customer and Gordian systems, ensuring accuracy and alignment with project budgets.
- Serve as the primary point of contact for clients and internal stakeholders regarding PO status, updates, discrepancies, and resolutions.
- Maintain complete and audit-ready procurement records and documentation to support compliance and financial reporting.
- Monitor PO activity across contracts and project portfolios, proactively flagging risks, variances, or delays.
- Drive continuous improvement by identifying workflow gaps and recommending process enhancements that improve speed, accuracy, and operational efficiency.
- Support internal teams in achieving customer goals and key performance metrics through timely and accurate procurement execution.
- Manage competing priorities across multiple projects while maintaining strong client relationships and service delivery standards.
Required Qualifications
- Education: Bachelor’s degree or equivalent combination of education and relevant work experience in Business, Supply Chain Management, or a related field.
- Experience: 3+ years of experience in Procurement, Purchasing, Contract Administration, or Project/Construction Management.
- Software Proficiency: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Skills: Strong analytical, organizational, and problem-solving skills.
- Communication: Excellent written and verbal communication skills with a customer service orientation.
- Workload Management: Ability to manage multiple projects simultaneously in a fast-paced, deadline-driven environment.
- Work Style: Self-motivated with the ability to work both independently and collaboratively within a team.
Preferred Qualifications
- Experience with ERP systems and reporting tools.
- Proficiency in Power BI and/or Smartsheet.

Work Location & Schedule

- Pay Range: $47,600.00 - $71,400.00
