Responsibilities

  • Team Organization: Manage calendars, book travel, coordinate meetings and appointments, and handle communications.
  • Accounting & Expense Management: Collect and organize invoices, receipts, and expense documentation; prepare payment runs; ensure accurate recording of vendor and team expenses.
  • Tool, Subscription & Contract Management: Own software subscriptions and service agreements, track renewals, evaluate new tools, negotiate pricing, and manage user access.
  • Office Experience: Manage office-related tasks including meeting rooms, mail, deliveries, stocking, and coordinating with vendors and building management.
  • Event & Offsite Planning: Source venues and vendors, manage invitations and communications, coordinate logistics, track budgets, and handle post-event follow-up.
  • Process Improvement: Proactively identify and implement improvements across internal processes, infrastructure, and daily operations.

Requirements

  • Several years of experience in an operations-focused position in a fast-paced environment. Experience in startups, investment firms, or professional services is a plus.
  • Exceptional high standard of excellent execution and creating amazing experiences for high-end stakeholders.
  • Bias for action, anticipating needs, creating structure, and taking ownership.
  • Reliability and organizational excellence; ability to keep multiple tasks, timelines, and systems running smoothly.
  • Warmth, discretion, professionalism, and approachability.
  • Resourcefulness, ability to figure things out, and comfort navigating ambiguity.
  • Strong attention to detail and accuracy.
  • Tech savviness, comfortable with modern tools, and embracing AI.
  • Passion for creating a better world and a commitment to building something meaningful.
  • Right to work full-time in Germany (visa sponsorship not provided).
  • Excellent written and verbal communication skills in both German and English.
