Chief of Staff to the CEO

About the Role:

The Chief of Staff to the CEO is a critical, high-trust position designed to be the CEO's closest thought partner and a force multiplier. This role requires exceptional communication, operational instincts, and the ability to manage ambiguity. You will extend the CEO's reach, refine their voice, and own key initiatives that shape aiEDU's external presence. This blended role is ideal for a communicator who can write with precision, think in another leader's voice, read situations and stakeholders accurately, and handle sensitive matters with discretion. You will also lead aiEDU's communications and marketing functions, act as a proxy for the CEO in high-stakes relationships, and spearhead new, undefined projects.

Role Details:

  • Location: Fully remote within the U.S. with high-speed internet access. Flexible schedule, with a preference for PST hours. Up to 40% travel within the U.S. is required.
  • Compensation: $150,000 - $175,000 base salary, depending on experience.
  • Benefits: Comprehensive benefits package including full health, dental, and vision for employees and dependents, life insurance, short-term and long-term disability insurance, flexible work hours and location, flexible paid time off, paid parental leave, a generous annual stipend for home office and professional development, and an immediate 401k match of 4%.
  • Start Date: As soon as possible after offer acceptance, with some flexibility.

Your Responsibilities:

Office of the CEO Management:

  • Manage the CEO's office, aligning priorities with organizational needs.
  • Provide strategic external communications support, including drafting responses and ensuring follow-up.
  • Triage and manage meeting requests on behalf of the CEO, attending meetings and preparing briefings as needed.
  • Act as a proxy for the CEO in decision-making and follow-ups.
  • Partner with the CEO's Executive Assistant on scheduling, travel, expenses, and inbox management.

Communications & Marketing:

  • Lead executive communications for the CEO, developing thought leadership content (Substack, LinkedIn) and supporting the aiEDU Studios podcast.
  • Manage CEO and executive media relations, coordinating proactive outreach and responses.
  • Develop presentations and workshop materials to ensure polished and on-message delivery.
  • Manage the Lead, Communications, serving as a strategic and accountability partner.
  • Build an analytics infrastructure to measure communication and marketing impact.

Special Projects:

  • Incubate new initiatives, partnerships, and projects.
  • Build lightweight, AI-powered tools and workflows to enhance efficiency.
  • Lead and advance current projects, including vibecoding.aiedu.org and a website revamp.
  • Program manage the aiEDU Advisory Board.

About You:

  • 7+ years of experience in roles blending strategy, communications, and execution (e.g., Chief of Staff, startup generalist); nonprofit experience is a plus.
  • Exceptional written communication skills, with the ability to write in another leader's voice.
  • High fluency with AI tools, including building lightweight tools and automations.
  • Strong project management skills with the ability to manage multiple complex workstreams.
  • Analytical mindset with comfort in building dashboards and using data for decision-making.
  • High EQ and strong interpersonal skills for building trust and representing leadership with discretion.
  • Bias toward action and an ownership mentality.
  • Comfort operating in ambiguity and a fast-paced environment.
  • Passion for equity in education and aiEDU's mission.
