In This Role:

As a Senior Officer in Fund Administration, you will be responsible for validating corporate secretarial deliverables and ensuring quality standards. You will perform detailed reviews of corporate documentation, support complex processes, and serve as a technical resource. Your focus will be on quality assurance and maintaining compliance standards across all deliverables.

What You Will Do:

  • Review corporate secretarial documentation and client deliverables, applying regulatory requirements and compliance standards.
  • Maintain strong knowledge of client-specific requirements and contribute to process improvement initiatives.
  • Provide technical input on corporate secretarial matters and ensure compliance with established procedures.
  • Validate complex corporate filings and records, and review statutory books and records.
  • Document review findings and recommendations.
  • Review operational procedures and contribute to best practices development.
  • Support complex transaction analysis and validate compliance with regulatory requirements.
  • Execute payments, including preparing payment packs, inputting payments on banking platforms, and maintaining payment logs.
  • Prepare board packs, compiling documents for directors.
  • Draft initial board minutes and update/upload investor information on client investor portals, managing static data updates.
  • Prepare investor notifications (drawdown notices, capital calls, distribution notices), including drafting correspondence.
  • Assist with resolving action points from periodic reviews.
  • Oversee junior staff and manage task delegation.

About You:

  • Bachelor’s degree in Business Administration, Legal Management, Chartered Secretary qualification, LL.B (pre-law), Juris Doctor, or equivalent paralegal or related field.
  • Minimum of 5 years of relevant experience in corporate secretarial roles.
  • Extensive knowledge of relevant corporate and company laws and regulations.
  • Familiarity with corporate secretarial practices for funds and special-purpose vehicles.
  • Proficiency in using CAS systems or similar corporate secretarial software is a plus.

Skills and Key Behaviours:

  • Expertise in reviewing and validating corporate filings, records, and statutory documentation.
  • Knowledge of regulatory compliance and quality assurance standards.
  • Ability to analyze complex transactions and ensure accurate reporting.
  • Confidence in documenting review findings and contributing to process improvement.
  • Ability to provide technical guidance on corporate secretarial matters.
  • Strong communication, organizational, prioritization, and analytical skills.
  • Capability to mentor and provide constructive feedback to team members.
  • Proactiveness and a "can-do" attitude in managing tight deadlines and pressure.
