Position Summary
The Payroll Team Lead ensures successful payroll operations, compliance, training, data analysis, controls, audits, and reporting for both Canadian and US payroll. This role ensures adherence to established policies and procedures for accurate and timely payroll completion. The Team Lead is accountable for appropriate tax submissions, benefits contributions, T4 and W2 reconciliations, and serves as a backup to the Manager, Payroll. A key role will be in system configuration, integrations, and continuous improvement initiatives, including the adoption of AI-driven tools to modernize payroll processes.
Key Responsibilities:
- Coach Payroll Specialists on processes, procedures, and internal controls, acting as a go-to resource.
- Perform Payroll Specialist duties as required to ensure timely payroll completion.
- Review payroll inputs for each pay group for accuracy, ensuring all documentation is received and approved.
- Update and improve payroll trackers and checklists for all semi-monthly, monthly, quarterly, and yearly payroll activities.
- Maintain and develop payroll documentation for all workflow and system procedures supporting Canadian and US payroll.
- Process off-cycles for restricted stock unit payouts, vesting of options, director fees, annual amendments, and liquidity events.
- Manage payroll integrations (e.g., SuccessFactors, Sun Life, Fidelity, PlanSource), ensuring data integrity and issue resolution.
- Analyze payroll processes, system configurations, and suggest improvements for efficiency.
- Understand data flow from other systems (Success Factors, Sun Life, Fidelity, PlanSource), track issues, and ensure alignment.
- Maintain system updates (new codes, check templates, pay policies, earnings/deductions groupings) to accommodate company requirements and CRA, IRS, and state tax legislations.
- Review and update the time and attendance module configuration to ensure compliance with Federal, State, Provincial payroll laws and internal policies.
- Manage payroll tax accounts, including addressing letters from tax agencies and PIER from CRA.
- Record and review payroll journal entries, update GL mapping as per business requirements.
- Review daily payroll and benefits bank account statements to book transactions in the accounting system.
- Establish and communicate payroll schedules and deadlines.
- Generate payroll reports (WCB, ACA, Bonusable earnings, taxes owed on restricted stock units and stock options vested).
- Assist with payroll, benefit, or pension related audits.
- Assist with future implementation of payroll/HCM systems and integrations.
- Close payroll tax accounts for acquired companies.
- Assist with future acquisitions and projects.
Required Experience:
- Post-secondary education in Payroll/Business or related fields.
- Payroll Compliance Professional (PCP) certification.
- Minimum 7 years of experience processing payroll.
- Experience in US and CAD payroll practices, including multi-state processing.
- Solid understanding of payroll processes and relevant legislation, source deduction, and government remittance procedures (USA and CAD).
- Advanced Excel skills.
- Flexibility and adaptability in a fast-changing environment.
- Strong time management and organizational skills.
