Property Management Assistant (Freelance, Remote)

About the Role

This role is designed to address paperwork and property management administrative overload within a growing boutique real estate and property management firm. The firm is lean, hands-on, and prioritizes responsiveness, professionalism, and operational excellence. The Property Management Assistant will independently run day-to-day operations, streamline workflows in Buildium and Trello, and ensure fast, professional communication, freeing up leadership capacity by presenting clear decision options for approval.

Responsibilities

  • Property Management Operations: Manage daily tasks end-to-end, proactively identify and resolve issues, and present decision options/recommendations for approval.
  • Tenant & Investor Communications: Handle inbound/outbound communications (including after-hours inquiries), triage, resolve, or escalate items with clear context and proposed solutions, maintaining professional, empathetic, and timely responses.
  • Systems, Records & Paperwork: Maintain accurate Buildium records, leases, notices, and document repositories. Prepare and track lease paperwork, renewals, move-in/move-out documentation, and administrative reporting. Ensure data hygiene and consistent file control.
  • Workflow Audit & Optimization: Audit current PM workflows in Trello and Buildium, identify bottlenecks, propose improvements, and implement streamlined boards, checklists, SLAs, and decision trees.
  • Compliance, Reporting & Vendor Coordination: Support routine reporting, reminders, and compliance tasks. Coordinate with vendors and service providers, track work orders, and surface risks or exceptions early with recommended actions.

Requirements

  • Proven prior property management experience.
  • Hands-on experience with Buildium.
  • Proven client-facing communication skills with tenants, investors, and vendors.
  • Demonstrated autonomy and problem-solving in a fast-paced, small-team environment.
  • Technical Skills: Buildium proficiency; working knowledge of Trello and Google Workspace; inbox/queue management; document control; basic reporting.
  • Operational Skills: Process mapping, checklist/SOP creation, SLA management, and prioritization.
  • Communication Skills: Clear written and verbal communication; empathy and professionalism; confident escalation with options.
  • Personal Attributes: Ownership mindset, urgency, proactive problem-solving, reliability, and follow-through.
  • WFH Set-Up: Computer (8GB RAM, Intel i5/AMD Ryzen 5 or higher), 40MBPS internet speed, headset with noise cancellation and webcam, back-up computer and internet, quiet workspace.

Work Setup

  • Remote position.
  • Must have reliable internet connection and quiet workspace.
  • Required to provide own computer.

Working Hours

  • 40 hours per week.
  • Monday–Friday, 12:00 pm–8:00 pm Pacific Time.

Compensation

  • $7 per hour.
  • No benefits package included.
