About the Role

MeBe Family is looking for a Scheduler to join their rapidly growing learning center team. This critical role provides operational and administrative support to the learning centers, working under the supervision of the Scheduling Manager. This is a remote position, and candidates must be located in California.

What You'll Do

Oversee Scheduling Processes:

• Manage schedules for all MeBe’s clients and services, including ongoing services, assessments, makeups, cancellations, and sub-sessions.
• Maximize client authorizations and optimize provider availability for efficient usage.
• Complete the morning cancellation process by taking call-outs and scheduling coverage.
• Assist with the production and delivery of reports related to scheduling and fulfillment.
• Approve hourly employee time cards and reconcile differences.
• Provide concierge-level customer service and manage the center phone system.

Client Management:

• Field calls for potential clients and pass them to the FSL team.
• Gather information for current clients wishing to enroll in additional services (after school ABA/SLP, OT, etc.) and send to the Family Success Team.
• Manage the upkeep of MeBe’s EHR system, CentralReach, ensuring staff and client records are up-to-date, timesheets are completed, and staff corrections are handled promptly.
• Collaborate with other MeBe Operational teams remotely as needed (IT, Authorizations, Intake).

Additional Job Details

• Remote role.
• Full-Time, Monday-Friday.
• Equipment provided.
• Typical hours: 7 AM - 4 PM.
• Hourly, Non-Exempt position.

Qualifications

• Must be located in California.
• 2 or more years of ABA scheduling experience.
• Scheduling software experience; CentralReach experience is a bonus.
• Intermediate understanding of Google Workspace (Gsheets), MS Word, Excel, iOS, and email.
• Self-starter with strong organizational and analytical skills.
• Innovative problem-solver.
• Dependable and detail-oriented.
• Strong, professional communication skills.
• Bachelor's degree preferred.
