Purpose of Role / Overview
This pivotal role supports the management and coordination of the group's casual workforce. You will collaborate with operational teams to ensure all trips and services are adequately resourced with the right personnel at the right time. As a central point of coordination, you will plan, schedule, and allocate casual workers, ensuring all staffing needs are met efficiently and in line with business objectives. A key focus is maintaining compliance, ensuring all workers are appropriately trained, qualified, and up-to-date with regulatory and internal standards before deployment.
You will build strong relationships with internal teams and the wider workforce, responding to evolving requirements, resolving staffing challenges, and ensuring consistent service delivery. This is a fast-paced, collaborative role where strong organization, attention to detail, and proactive communication are essential for success.
Accountabilities
- Forecast staffing requirements for upcoming trips across core operations divisions, considering schedules, locations, and activity levels.
- Source, onboard, and manage relationships with local staffing agencies to secure a reliable pipeline of high-quality casual and field-based staff.
- Negotiate competitive rates and agency margins, establishing clear Service Level Agreements (SLAs) for maximum value and margin protection.
- Verify strict adherence to UK and international labor laws by partnered agencies, including Right to Work checks, AWR, and holiday pay compliance.
- Oversee the end-to-end timesheet process for agency workers, validating hours worked against schedules for accurate billing and timely approvals.
- Ensure all staff receive necessary training and briefings for their assigned duties.
- Maintain and update the internal staff database to prioritize top-performing casual workers for future deployments.
- Keep an up-to-date pool of casual workers with essential information (hours worked, location, skillset, etc.).
- Identify staffing gaps early and collaborate with operations on effective recruitment initiatives.
- Allocate staff to trips based on experience, location, and availability, working alongside the operations team.
- Issue work assignments and confirm availability with casual staff.
- Manage changes, cancellations, and last-minute cover requirements.
- Ensure fair and efficient work allocation across the casual workforce.
- Ensure all casual workers are fully compliant and onboarded before deployment, including:
- Onboarding and issuing relevant contracts/agreements.
- Ensuring compliant Right to Work checks.
- Scheduling training days and logging training data.
- Ensuring DBS or safeguarding checks are completed.
Requirements
Prerequisite Knowledge, Skills & Experience
- Experience in workforce planning, scheduling, or operations coordination.
- Proven ability to deliver consistently in a fast-moving environment.
- Passion for skill development and business growth.
- Proactive approach with excellent attention to detail.
- Ability to build strong relationships with employees and line managers.
- Experience in travel operations and/or logistics.
- Self-motivated and proactive with a "can-do" attitude, initiative, and persistence.
- Outstanding organizational skills with proven ability to manage time and prioritize tasks under pressure and to tight deadlines.
- Strong communication skills (written and verbal).
- Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
- Accuracy and flexibility, with the ability to work independently with minimal supervision.
- Team player with a track record of building strong, effective working relationships.
- Good worldwide travel knowledge.
- Excellent customer service skills.
- Logical thinking and strong analytical skills.
- Experience working with sports travel is desirable but not essential.
Location
Milan/Hybrid - Typically 3 days per week in Milan, with flexibility required when necessary.
