Role Overview

As a Lease Administrator, your primary responsibility will be to meticulously manage lease documentation and data processes. This role is crucial for ensuring accurate contract handling, maintaining compliance, and providing timely, reliable information vital for strategic business decisions within the Sales Market. You will be the go-to person for ensuring correct contract execution, maintaining data integrity, and supporting various cross-functional teams with essential lease and payment information.

This hybrid position reports to the Expansion Manager and is based at the Mexico Support Office.

A Day in the Life

Working at H&M means embracing variety, but a typical day involves:

  • Coordinating and securing routines for contract and document handling within your market.
  • Ensuring correct contract execution and following up on the signing process.
  • Advising on missing data or information to maintain 100% data accuracy in LIMA and other systems.
  • Managing the internal and external transmittal of documents, reports, and notices.
  • Conducting data audits on co-tenancy, key dates, rent terms, and other market-specific information.
  • Partnering with legal, controlling, accounting, facilities, and construction teams to verify lease information and provide support.
  • Ensuring timely and correct payments by providing necessary information to the accounting department.
  • Coaching and training expansion functions on correct data input and system management.
  • Understanding the workflows of other expansion functions.
  • Extracting and presenting data in a professional and understandable manner.
  • Providing insights on co-tenancy, key dates, rent terms, and more.
  • Defining strategies for documentation handling and signatures for your market.
  • Collaborating with controlling to set strategies for data loads and rental payments.
  • Creating and implementing routines for contract execution.
  • Staying updated on Group routines and proposing process improvements.
  • Developing supporting documentation to enhance market best practices.
  • Collaborating closely with the controlling team, lease managers, and other functions.
  • Understanding accounting routines and relevant payment timelines.
  • Working with other departments to provide, verify, or confirm lease data.
  • Engaging with lease administrators in other markets to share best practices, processes, and templates.

Qualifications

Who You Are:

  • A degree in Law, Business Administration, or a related field.
  • Proven experience in contract management or document handling.
  • Strong legal and contract management skills.
  • Highly organized and structured, with exceptional attention to detail.
  • Solid understanding of numerical and accounting principles.
  • Excellent teamwork and collaboration abilities.
  • Proficiency in MS Office Suite (Outlook, Excel, PowerPoint, MS Teams).
  • Previous experience in controlling or legal functions, either at H&M or externally, is advantageous.
  • Analytical, methodical, and conscientious with a structured approach.
  • Communicative, consultative, and collaborative, contributing positively to team goals.
  • Advanced proficiency in both English and Spanish.
