Onomi exists to revolutionize how pharmaceutical companies engage with HCPs. We provide a single solution for managing in-person and virtual engagements, capturing interaction data directly into CRMs. This "live engagement intelligence" helps over 100 pharma companies worldwide make events easier to manage and measure, leading to better HCP experiences at a lower cost. We are seeking an experienced agency/pharma meetings project manager or event/meeting planner with 2+ years of experience in congress/convention or medical education planning and execution, interested in technology, engagement, and analytics, to join our team.
About the Role
As a Project Manager, Life Sciences with Onomi, you will lead and execute end-to-end congress, webinar, advisory board, and medical education event projects, both onsite and remotely. This role requires a blend of technical configuration, professional client management, and meticulous event execution.
Responsibilities
- Configuration & Launch (30%): Independently build, configure, and launch our suite of live engagement apps (web, mobile, portal, video, AI) using our SpotMe Backstage Content Management System.
- Client Management (20%): Professionally manage customers and senior stakeholders with clear, timely communications to enhance the HCP experience and add value across the project lifecycle.
- Event Execution & Coordination (20%): Coordinate closely with stakeholders to ensure seamless execution on event day. Train faculty, field sales teams, booth staff, and agencies. Thoroughly review event apps for flawless delivery. Ensure onsite technology (interaction tracking, microapps, iPads, badge printers) is fully configured and tested.
- Onsite/Virtual Operations (20%): Ensure speakers are fully briefed and prepared for webinars, virtual sessions, or onsite presentations. Ensure all event operations run smoothly for both virtual and face-to-face projects.
- Post-Event Analysis (10%): Handle post-event communications, analyze event data, and deliver detailed reports, dashboards, and recommendations to customers, highlighting successes and areas for improvement.
Objectives - The problems you will solve
During your 6-month ramp-up period:
- First 3 months: Onboard, get hands-on with products, understand SOPs, and meet teams. Build and test drive a mobile app and webinar. Build all events in Backstage with minimal supervision. Shadow colleagues for a full project lifecycle. Manage at least 3 complete congress or life science projects end-to-end, including onsite presence for at least 2 events.
- First 6 months: Become an advocate for medical education tactics. Complete an international onsite project. Master the full Onomi playbook by leading projects in core life sciences use cases (webinar, congress, medical education, advisory board). Consistently receive client recognition for best-in-class contributions.
At 12 months:
- Lead an average of ~7 onsite congress or life science projects per quarter (≈28 per year), or 13 remote projects per quarter, or a mix.
- Begin mentoring junior/associate team members by supervising 2-5 projects per quarter.
- Step up to Program Lead on brand engagement programs.
- Drive new business through successful upsell deals or by participating in business development activities with the sales team.
Requirements
- Frequent travel (20-40% onsite), out-of-hours availability, and weekend work are required.
- Congress, meetings, and event project management expertise: Deep understanding of pharma meeting and congress planning/execution (agency or corporate background). Understanding of pharma priorities and ability to translate complex workflows into SOPs.
- Strong stakeholder relationship building: Adept at engaging US/EU customers, KOLs, and medical societies with a service-driven mindset. Ability to navigate and plan interactions with corporate pharma stakeholders and KOLs.
- Influence and escalation: Understanding of pharma decision-making processes and confidence to escalate to leadership when necessary.
- Technical dexterity: Ability to effectively deliver practical technical solutions.
- Balancing compliance with business needs: Skillful navigation of pharma regulatory compliance and legal review processes with business objectives.
- Product-smart: Ability to generalize customer needs and prioritize solutions that deliver true value.
- This role is suited for individuals with approximately 2-4 years of experience in event or meeting management or a closely related function.
